[delivery-announce] TBLC Delivery: Important announcements

Good afternoon!

 

I hope your week is going well, and that your transition into our new
delivery year is a smooth one. 

I apologize for the very long email, but I do have several important
announcements to make regarding various delivery issues. Please read
carefully, and refer back to this email as needed. The top list is of
general issues, and the bottom list contains some specific information
of new changes/issues: 

 

Whether your library is new to our Statewide Delivery system or if
you've been a participating member for years, please review the
following procedures, as many libraries (old and new) are making
mistakes in shipping:

1.	ALL labels must be printed in LANDSCAPE FORMAT from our website
(http://www.tblc.org/delivery/search.new.php
<http://www.tblc.org/delivery/search.new.php> ). NO EXCEPTIONS. If your
label is hand-written, typed, or has the incorrect delivery information,
your bag will not be delivered to its destination. Instead, it will be
re-directed to TBLC to be sorted and returned to the sender. This will
delay the delivery time up to two weeks. See the attachments for
examples of correct and incorrect labels. Also, please do not use tape
on the delivery bags; if the labels are printed in landscape, they fit
quite snugly in the flap.
2.	Please print labels "on-demand." DO NOT print labels and
stockpile them for weeks, months, or years, as they will very likely
become outdated. 

If your library has a heavy volume of materials coming in and out
through delivery, you may pre-print labels up to one week in advance of
their use, STARTING NEXT WEEK. There are still countless changes being
made to the database because of the new contracts for this fiscal year,
and you will probably have incorrect information on your labels if
you're not printing on-demand this week.

3.	ALL libraries must be keeping a stats sheet for the driver to
initial every delivery day. You must also have the "electronic
signature" available for the driver to scan (can be printed at 
www.tblc.org/delivery <http://www.tblc.org/delivery> ). At the end of
the month, please fax the stats sheet with the month's TOTALS added up
at the bottom. We only need the number of packages sent and received (we
don't need the number of items in the bags).

If you cannot fax the stats sheet, email the totals at the end of the
month to: deliver at tblc.org <mailto:deliver at tblc.org> . 

4.	When you send empty orange bags to TBLC, PLEASE REMOVE THE
LABELS FIRST!

 

In addition to reviewing the general delivery procedures, these are some
specific changes everyone should be aware of:

1.      The State College of Florida, Manatee-Sarasota (formerly Manatee
Community College) no longer uses Ariel. They ask that you please send
articles electronically whenever possible, preferably as PDFs attached
to emails, or fax them to 941-752-5308.

2.      There are SEVERAL libraries that DO NOT receive delivery service
directly. Their deliveries are routed through other locations. As long
as you select the location you want from the website, your label will
reflect the correct information. For example, the deliveries to Belle
Glade Campus Library at PBCC are routed through the Lake Worth Campus
Library. If you select "Belle Glade Campus" from our list, the label
will be addressed to Lake Worth Camus with a note saying "route to:
Belle Glade." 

As long as you print on-demand from our website, this should not be an
issue. Many libraries are still addressing bags to the actual, physical
library address of a "route to" library when it should be addressed
elsewhere. Please don't do this.

helpful in answering delivery questions and guiding you in the correct
shipping procedures. The "Documentation" link leads you to our recently
updated Procedures Manual and the stats sheet. The "FAQs" link will
bring up the answers to some frequently asked delivery questions. When
in doubt, email questions and concerns to deliver at tblc.org or call
1-800-622-8252, x225. **
